SPONSORSHIP OPPORTUNITIES:
Sponsors are a critical part of what makes the ARMA Houston Spring Conference so impactful. Our attendees rely on the conference to provide them with opportunities to educate themselves on the solution providers in the Records and Information Management domain as well as to make connections with real people who work at those solution providers and “put a face to the name” of your products and services.
The conference team has put together a suite of sponsorship opportunities that we believe will provide value to both sponsors and attendees, at a range of price points to accommodate every budget to make the Spring Conference a win for your organization.
Something new to the ARMA Houston Spring Conference: Vendor Spotlights Sessions over Lunch. Vendors will have the opportunity to secure a 15-minute lunch session to showcase their product. There will be four sessions in total. Please refer to the details outlined in the Conference Sponsorship packages.

Breakfast Sponsor Price: $500.00
Attendees will receive complimentary breakfast the morning of the conference. Your company’s logo, product or service will be the first thing that they see as they enjoy the most important meal of the day. Sponsors are encouraged to place brochures near the breakfast area, spend this time at the station to greet attendees and welcome them to the conference.
Afternoon Break Sponsor Price: $500.00
Be the official sponsor of the afternoon break! The sponsor’s company logo, product or service will be the first thing that they see as they all gravitate to this extremely popular area to take a much-deserved break. Sponsors are encouraged to spend this time at the break station to greet attendees.
Conference Bag Sponsor Estimated Cost: $600
This exclusive sponsorship is for one Sponsor to provide conference bags for all attendees. Each registered attendee will receive their bag upon registration at the conference. The sponsor is responsible for providing up to 150 bags. The bag must be approved by the Sponsor Exhibits Committee.
Name Badge Sponsor Estimated Cost: $600
This exclusive sponsorship is for one Sponsor to provide conference name badge holders for all attendees. Each registered attendee will be given their name badge in these holders and are required to wear the badges while visiting the sessions and exhibit floor. The sponsor is responsible for providing up to 250 name badge holders. Badge selection must be approved by the Sponsor Exhibits Committee.
EXHIBITING OPPORTUNTIES:
STANDARD BOOTH EQUIPMENT – $800
- Each standard booth setup includes the following:
- Company identification sign for back wall drape
- One (1) Skirted table 30” x 66”
- Two (2) Chairs
- Carpeting – the Exhibit Hall is fully carpeted
- Electrical – one (1) duplex electrical outlet is available upon request at no additional cost of (Note: 240 volts cannot be provided)
ADDITIONAL LUNCH TICKETS
- Two lunch tickets are included for each booth space purchased. Please order additional lunch tickets, if needed. On the exhibitor and sponsor registration page, please select the additional ticket titled, "Additional Conference Luncheon".
FREE WIRELESS INTERNET SERVICE
- Wireless Internet service is available to all vendors. Hard-wired internet access is available for $75 per drop (when registering please order, if needed).
EXHIBITOR DOOR PRIZES AND DRAWINGS
Exhibitors may conduct drawings for door prizes or other promotional giveaways, subject to the following guidelines:
- To ensure fairness, awards should be limited to conference attendees
- Contestants MUST be present to win.
- Announcements of drawing results may be made during the afternoon break.
- ARMA Houston Conference Team Members will maintain a schedule of drawings and announcements. Exhibitor announcements will be limited to 3 minutes.
- Any use of the Public Address/sound system in the Exhibit Area must be approved beforehand by the appropriate ARMA Houston Conference Team Member.
EXHIBIT HALL SCHEDULE
- Exhibitor Move-In: Monday, April 13, 2026; 2:00 PM – 4:00 PM
- Exhibitor Hours: Tuesday, April 14, 2025; 7:00 AM – 5:15 PM
- Exhibitor Move-Out: Tuesday, April 14, 2026; after the last break and before the social networking event
